Standard Job Description:
Performs a variety of routine administrative/clerical tasks in such functional areas as finance, purchasing, or human resources or for a specific project/business/technical unit. Gathers, collects, records, tracks and verifies data and information from multiple sources. Compiles, reviews and analyzes data. Uses personal computer and commercial software packages, and/or proprietary software for functional area, to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations. May design processes to enhance work flow. Provides data and information to others on functional unit processes and procedures.
Specific Job Description:
This position will provide direct support to the Site Lead and the program groups. The successful candidate will have the flexibility to provide administrative support services to both management and functional teams.
The responsibilities for this position include coordination of all travel arrangements, including the preparation of required internal travel documentation and travel reservations; responsibility for ensuring that all relevant meeting materials and weekly reports are prepared in a timely manner; coordination of onsite and offsite meetings, the management of multiple schedules, and the ability to independently handle telephone calls and inquiries. Other duties will include scheduling of conference rooms, setting up of teleconferences and organizing catering for both internal and external requests. The candidate must establish good working relationships with other departments within the Company, such as Finance for efficient processing of expense claims and cheque requests, obtaining charge numbers for new pursuits, and the appropriate dissemination of this information.
The candidate may be asked to compose correspondence and slides and other documentation as required. Position requires good command of English and a high degree of professionalism.
Basic Qualifications & Desired Skills:
College Diploma 4-5 years experience in the role of Administrative Assistant Superior Microsoft Suite knowledge (especially Powerpoint/WORD/EXCEL) Highly personable Experience with SharePoint, SAP and Concur travel management system are an asset.
